Where you hold a session in the scholr portal, we also collect a text transcript of the conversation while it runs, and the summary written from it. Section 8 describes what happens to each.

2. How We Use Your Information

We use the information we collect to:

3. How We Share Your Information

We do not sell, rent, or trade your personal information.

We may share information with trusted service providers who assist us in operating our website, scheduling appointments, processing payments, or delivering services. These providers are required to maintain the confidentiality and security of your information.

Where a session is held in the scholr portal, the conversation is transcribed and summarised by the providers named in section 8. Those providers receive the audio of the session and the text made from it for that purpose alone.

We may also disclose information when required by law or to protect our legal rights.

4. Data Security

We implement reasonable administrative, technical, and organizational safeguards designed to protect your personal information from unauthorized access, disclosure, alteration, or misuse.

While we strive to protect your information, no method of electronic transmission or storage can be guaranteed to be completely secure.

5. Payments and Refunds

Fees for services are communicated prior to engagement and may vary depending on the selected program or service. Unless otherwise specified in a written agreement, payments are non-refundable. Any exceptions will be outlined in the applicable service agreement.

8. Sessions held in the scholr portal

Some sessions between a student and their advisor are held in a video room inside the scholr portal rather than on an outside service. This section describes what happens in that room, and it applies only to those sessions. The page you join from says which kind of session yours is.

We do not record video or audio. No recording of a session is made and none can be started.

The conversation is transcribed into text while the session runs. Both people are told this on screen before the session begins.

The text is used once. An automated service reads it and writes a short summary of the session, the topics it covered, and any action items. Your advisor reads that summary and decides whether to send it to you.

The text is then deleted. It is deleted as soon as the summary has been written, which is usually within half an hour of the session ending, and within 24 hours in every case whether or not a summary was written. What we keep is the summary, the topics and the action items. We do not keep the words that were said.

Either person can turn the transcript off. You can do this before the session or at any point during it, and so can your advisor. It stays off for that session and cannot be turned back on. Anything already captured is deleted without being read, and no summary is written.

You can also decline before the session. Tell your advisor or write to us at the address below, and we will turn the transcript off for your sessions or hold them on a service that does not transcribe. Where the student is under 18, a parent or guardian can ask for the same thing and we will honour it.

Three companies are involved in a session held in the portal. Daily provides the video room and the transcription pipeline, Deepgram converts speech to text, and Anthropic's Claude models write the summary. Each operates under its own terms and privacy policy.

9. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, services, or legal requirements.

Any updates will be posted on this page with an updated effective date.
